Clinic Operations Manager - Sharpstown (Job Overview)

Schedule: Monday-Friday (8AM-5PM)

Join our family as a Operations Manager and help create a smooth, welcoming, and effective care experience for patients and the teams who support them. In this meaningful role, you will provide operational support for assigned areas while guiding support staff, strengthening patient access, supporting provider scheduling, and helping clinic workflows run more efficiently.

  • Help strengthen access, scheduling, reporting, and service delivery across locations of care.
  • Participate in monthly leadership meetings and strategic planning.
  • Continue developing your operational and people-leadership skills in a mission-driven healthcare setting.

Key Responsibilities

  • Directly supervise support staff to ensure that department policies are being followed.
  • Handle all work schedule matters for support staff, including paid time off (PTO) and unpaid leave, and enforce the Legacy attendance policy.
  • Provide direct coverage for support staff as needed.
  • Provide EPIC support and ongoing training for support staff by becoming an EPIC and EHRS super-user.
  • Actively promote feedback and collaboration with all staff to identify ways of enhancing services.
  • Encourage peers, providers, and staff to participate as appropriate.
  • Participate in interviewing, hiring, and evaluating prospective staff members.
  • Perform performance reviews and coaching/disciplinary action for direct reports.
  • Track key performance indicators on a monthly, quarterly, and annual basis to identify trends, recognize successful performance by staff members, and uncover problem areas in the clinic/site.
  • Collaborate with team members and Business Intelligence to develop and maintain reports specific to service lines.
  • Assist with issues related to patient access, including coordinating the management of wait lists.
  • As needed, coordinate management of Internal Service Orders and external referrals.
  • Assist with streamlining scheduling guidelines and scheduling workflows.
  • Actively work to maintain full provider schedules.
  • Monitor provider templates/schedules for efficiency across sites.
  • Coordinate the management of desktops within the area of responsibility.
  • Provide feedback on workflows in coordination with site and medical leadership.
  • Support the implementation of service line-wide performance improvement projects.
  • Manage locums and per diem provider coverage within the service line in collaboration with site leadership, if applicable.
  • Assist with patient complaints as appropriate.
  • Monitor site/service line operational metrics across locations of care.
  • Participate in monthly leadership meetings.
  • Complete and present strategic plans for the advancement of support and activities related to the clinic, site, and/or service line.
  • Establish and maintain working relationships with community partners and collaborators.
  • Follow the Legacy guidelines related to the Health Insurance Portability and Accountability Act (HIPAA), designed to prevent or detect unauthorized disclosure of Protected Health Information (PHI).
  • Manage departmental orders and stocking of supplies.
  • Oversee maintenance and function of service line-specific equipment.
  • Participate in the Performance Improvement Program.
  • Perform other duties as assigned.

Minimum Qualifications

  • High School Diploma or equivalent is required.
  • Certifications/licenses as applicable to their area of responsibility

Required Years of Experience

  • Three (3) years of experience in a healthcare setting, or service industry.

Desirable Education and/or Experience

  • Two (2) years of experience in administration and supervision of staff preferred.

Required Knowledge, Skills, and/or Abilities

  • Demonstrated competency with an EHRS system.
  • Excellent communication skills and customer service skills.
  • Ability to multitask in a fast-paced environment.
  • Must be able to manage multiple deadlines and decision-making responsibilities.
  • Above average organizational skills and computer skills.
  • This job requires access to confidential and sensitive information, requiring ongoing discretion and secure information management

Desirable Knowledge, Skills, and/or Abilities

  • Bilingual (English/Spanish) fluency is preferred.
