Clinical Scheduling Assistant
Schedule: Monday-Friday (7:30AM-4:30PM)

Key Responsibilities
- Collaborate with Front Desk staff, Lead Medical Assistants, and the Clinical team to ensure optimal provider schedules in real time.
- Coordinate day-to-day scheduling and real-time patient scheduling according to established guidelines.
- Investigate and address scheduling mistakes, escalating issues when necessary.
- Manage scheduling issues, adjusting patient schedules as needed.
- Utilize wait lists to schedule same-day or next-day appointments efficiently.
- Work with the clinical team to expedite scheduling for patients needing urgent care.
- Maintain a list of per diem and locum tenens providers for shift coverage.
- Facilitate the scheduling of walk-in patients, including newborns.
- Serve as a liaison for Contact Center staff in managing same-day visits.
- Assist with reminder calls and manage portal messages for your assigned site.
- Update patient registration information, ensuring accuracy and completeness.
- Participate in trainings to enhance your skills and adapt to new procedures.
- Perform other duties as assigned to support the clinic's mission.
Minimum Qualifications
- High School Diploma
- Medical Assistant-Certified or EHRS medical documentation training
- Must maintain BLS /CPR ·
- Previous experience in a medical clinic setting.
- Proficient in entering data in an EHRS
- Excellent written and oral communication skills
- Strong ability to work both independently and as a team to accomplish organizational goals.
- Communicate in a clear, concise and diplomatic manner
- Self-motivated and able to demonstrate problem solving
- Willing to communicate frequently via phone with patient
- Spanish-speaking preferred
