Key Responsibilities
- Serve as the first point of contact by answering incoming calls promptly and professionally, addressing appointment requests and inquiries.
- Review patient charts to ensure all required consents and intake forms are completed for smooth registration.
- Collaborate with parents of new patients to obtain verbal consent and guide them through necessary documentation.
- Verify demographic information and collect health histories to confirm appointments.
- Schedule eligibility appointments to assist with insurance updates and changes.
- Digitally manage patient documentation by scanning and uploading intake forms, consents, and insurance information into our EPIC system.
- Update MyChart access for parents, ensuring communication preferences are accurate and helpful.
- Identify and flag billing issues for same-day appointments or registration errors to ensure seamless operations.
- Confirm patient arrivals and follow up with schools or parents regarding no-shows.
- Coordinate same-day appointment referrals by working closely with school nurses and parents to secure consent.
- Engage parents for follow-ups on birthday lists, weight checks, and asthma management to promote proactive care.
- Support the efficient operation of school-based clinics through essential administrative duties.
- Participate in performance improvement initiatives and contribute to the team’s success.
- Take on additional duties as needed to help fulfill Legacy’s mission of care and community impact.
Minimum Qualifications
- High School Diploma or equivalent.
- Pleasant, professional, and articulate phone voice.
- Ability to multitask and handle multiple incoming calls simultaneously.
- Efficient and accurate data-entry skills.
- Computer literacy and multi-line phone or switchboard experience
- Basic knowledge such as math, alphabetical, or numerical filing may be required.
- Bilingual in English/Spanish preferred.
